·         The club has received additional positive correspondence with regards to the dictionary distribution project.

·         Rich Vogelzang indicated that we are 13 weeks from the annual Ziti Dinner (1-27-08).  The minimum expectation of every club member is $250 in ticket/ad sales.  Overall goal is $45,000 in gross sales.  Placemats are $200/ad and include ten tickets.

·         Ralph Annucci reported on the very successful clambake on the 20th at Greece Canal Park.

·         Sue Edgett thanked those who assisted in assembling two tables at the Eastern Cities Fellowship Dinner.

Judy presented an email from Tom Lawson about the Rotary BOCES Christmas party, see attachment.

 

            Judy also talked about a program involving the Greece food shelf.

GREECE ROTARY:  COMMUNITY SERVICE PROJECT (PROPOSED)

            WHAT:   Food Collection Drive for Greece Ecumenical Food Shelf & St. Joseph’s Villa

            WHO:     Greece Rotary & Wegmans Britton Rd.

            WHEN:   November 3 and/or November 10

 

WHERE:  Britton Road Wegmans Store

HOW:    Posters and flyers will publicize activity.  Shoppers will be asked to purchase an additional item or two when they do their own shopping and then drop the item(s) in “our” shopping cart on way out.  At end of collection food will be delivered to a Rotary site where we can divide the items and deliver to the two venues.

 

The board approved supporting the project with Wegmans

Note:  Now that the board has approved this project we need ok from each of the venues to allow for collection on their behalf.  JVB (Wegmans representative) awaiting this approval.

 

Judy also discussed having a food drive at the November 7th Rotary meeting. Each member is encouraged to bring a non perishable food product for the Greece Food Shelf

 

Literacy - Tracy talked about a potential literacy program with some Greece Elementary Schools and Rotary. It would be a Book drive with the proceeds going to a needy country. Tracy will update the board as possible details continue.

Vocational Service Committee

Activities for the committee:

 

Mare Hare Brown Dinner

While the chair of this committee made a strong recommendation to support this award dinner this year, the committee will recognize the Board’s suggestion to re look at the event next year.  The formal District based committee, led by Angie Hucknal had several meetings scheduled that were cancelled.  Dianne B made several attempts to obtain information in regard to ads, # of attendees etc and only received a response asking who would attend the dinner form the Rotary and make a 1 minute introduction of Rotary and its involvement.  The club did not support the dinner with attendees as in years past which may be based on the # of other Rotary sponsored events taking place during the month of October or lack f interest in this event.  As such, I would strongly recommend that we end our participation in this event in the future but give able time to the GTA to find another means of collecting their funds.  One suggestion may be they contact the Greece education Committee for support.

 

GCSD Assets committee

This committee consists of representatives of local volunteer groups, politicians, former school board members etc and is led by Conor Cusak.  The mission of the committee is to engage our community in the support of developing and setting examples of the positive assets required by students to obtain success.  In an article published by the Greece Post, Rotary was not referenced even though we have had representation on this committee.  Meetings and information are usually shared by Conor to members via email. 

Going forward, this information will be shared with members as the board deems appropriate. 

 

Greece Community Interact club

Doug Dewey, member of the committee, has made contact with the Olympia and Odyssey advisors and is scheduling meeting to discuss the continuation of the club at theses schools.  Students have shown an interest in the past but a formal leader has not stepped forward in the past few years.  A meeting is also pending with Conor Cusak to discuss taking the club District wide and the appointment of leaders at each school.

Ziti Update: Rich Vogelzang talked about several advertising opportunities for the Ziti Dinner

·         Placemat’s will be put together for advertising opportunities. There will be 20 ad spots at a price of $200 each. A lot of interest was expressed.

·         Program ad’s will remain the same; $100, $200 & $400 for ¼, ½, & full page.

·         Ticket prices will remain at $8 fopr adults and $4 for youth

·         The ad forms have been updated and added to the website

·         Teams will be formed shortly

·         A minimum of $250 is expected by each member for Ziti sales. They are encouraged to raise this amount in advertising or ticket sales.

1.  A proposal was presented by Bill Gormont to purchase a new projector and laptop computer. A new projector would cost $500 - $700. A new laptop would cost $1000 - $1250. Bill has recommended an Infocus projector for $600.

Re: Greece Rotary Christmas Lunch with Santa and BOCES 2

Yesterday Judie Van Bramer, Cathy Vaughan ( BOCES 2 Parents Coordinator ) and I had a teleconference to exchange ideas on how to make this annual event that Greece Rotary sponsors a better experience for the children. This was a follow up to the Memo I prepared on this same topic and which was presented to the Greece Rotary Board at their December 18, 2006. The Board never took any action. Thus this memo is a recommendation on what should be done and which I will implement unless directed otherwise.

Let me review a little history as a backdrop to the topic. The following is a synopsis of the numbers that have attended over the last five years:

 

  • Year 2002- 238 total people of which approximately 103 were adults and 135 where children ( 123-BOCES2 and 12 Greece Central ( special need ))

  • Year 2003- 265 total people of which approximately 140 were adults and 130 were children ( 95 BOCES 2 and 35 Greece Central ( special need ))

  • Year2004- 257 total people of which approximately 130 were adults and 130 were children ( 109 BOCES 2 and 21 Greece Central ( special need ))

  • Year 2005- 270 total people of which approximately 144 were adults and 126 were children ( 90 BOCES 2 and 36 Greece Central ( special need ))

  • Year 2006- 347 total people of which approximately 177 were adults and 170 were children ( 110 BOCES 2 and 54 Greece Central ( special need ))

 

What has happened is that Greece Rotary, at least with respect to this event, has become a victim of its’ own success. The issues are many but here are some of them;

 

  • The BOCES 2 program and the State mandated special education criteria have changed over the years and this has impacted our holiday lunch program.

  • As the children aged beyond our original intent or transitioned back to their own school district, many have continued to participate in the Lunch. Some have done so without even being on the official invitation list.

  • The Ridgemont Golf Club facility physically can’t handle the numbers we are attracting for this event.

  • The logistics are too difficult to handle this number of people in the timeframe for a luncheon event.

  • The large numbers are not conducive to the children with all the noise/confusion and some of them don’t function well in this atmosphere.

 

The three of us would like to make the following recommendations:

  • Keep the total number of attendees to approximately 260-270 .

  • Cap the number of children to approximately 120-135.

  • Sponsor just one Christmas lunch which will be held usually on the second Wednesday in December.

  • To continue our relationship with BOCES 2 as the primary invitee to this event as Greece Rotary has historically done.

  • Limit the number of special needs children ( non BOCES 2 students ), most of whom are in the Greece Central system, up to the threshold number recommended above after BOCES 2 is covered first ( note that there are approximately 20 children now that are in the BOCES 2 system who attend programs within the Greece Central system ( West Ridge and Arcadia facilities ).

 

The three of us are making the above recommendations with the following rational:

  • This event is a primary field event for BOCES 2, which has limited opportunities for such exposure to events.

  • * Greece Rotary has a long standing satisfying relationship with BOCES 2.

  • We will focus our program on the ages of children up to 14, which was the original intent of this program.

  • The Ridgemont facility is not adequate for the numbers we anticipate involving ( see above ), given the additional reality of wheel chairs and other support equipment.

  • With the State classifications that now exist for assessing challenged children there are larger numbers of special needs children and children of older ages that have increased the numbers of children who may want to attend beyond what this single event can support. The children within the BOCES 2 program can be supported through this recommendation.

 

This year the event is scheduled for December 12, 2007.  Buses need to scheduled out 6-8 weeks.  Preliminary numbers of children that may want to attend within the BOCES 2 system are projected at about 130.  Thus, as indicated above it is my intent to advise Greece Central that outside the BOCES 2 children that are in West Ridge and Arcadia we will not be able to accommodate additional children this year. 

Greece Central has not been notified yet of this stance since it was only proper to advise the Greece Rotary Board prior to adopting suc
