Announcements: 

Greece Community Partners – this last Saturday Fellow Rotarian Al Meilutis was honored as a volunteer who has worked behind the scenes in the Greece Community for many years by the Greece Community Partners organization.  Thank you to the members who attended 

District golf tournament – Friday September 14 @ Lima CC. $75/person before Sept 1st after cost is $80/person  includes golf, cart, dinner.  Also two $20 door prizes requested per club attending. 

Hilton Varsity Boys Baseball Golf Tournament Sunday Sept 23rd@ Deerfield, see President Dan for details. 

Annual Clambake October 20, 2007, Greece Rotary Lodge at Greece Canal Park

Committee Reports  

 

Membership Committee – Dan Barletta for Andy

Membership count as of July 18, 2007 is 98.                         

Attendance Committee – Tracy Wooden

1.       Review of Attendance: 3 members have <20% attendance for the 06/07 year: Richard Baum, Dave Koteskey and Frank Vella. President Dan will call all 3 to discuss ways to improve their attendance.

2.       Discussion regarding sending letters to members with low attendance. Previously we have sent letters annually to those with <20% attendance. The feeling of the Board was that this should be done every 6 months (Jan1 and July1) to coincide with paying of dues based on number of members. It was also felt that those with <50% should receive a letter as this is the baseline that RI has set for attendance. Bill Gormont has the appropriate letter which was approved by the Board last year. Bill will forward letter to Keith and Dan for modification and mailing this year

 

Club Administration Committee - Brad Turner

Greece Rotary Ziti Dinner is scheduled for January 27, 2008. Rich V. and Ralph A. will be heading it up.

 

Service Projects

Community Service Committee - Judie Van Bramer

1. Status update of WalMart $1000 grant for the Golf Tournament – The check is in. Judie will go and accept the check on behalf of the club. Checks are presented at Wal-Mart on Tues and Thurs. at 9:30am in front of employees.

2. Status updates of Dictionary Project – Bookplates are in. Dianne Berardicurti, John Zink and Dan Barletta have children who will be doing volunteer service placing bookplates in the books. John Zink has a committee of 13 members to assist in distribution of dictionaries to the 900+ students in the Greece schools. Hilton Rotary will distribute to the 330 students in the Hilton schools. Joe Darweesh suggested that a picture be taken at each of the schools for their individual school publication in addition to the pictures planned for the local papers to expand on the publicity.

3. Status of BOCES Christmas party- Judie will meet with Kathy from BOCES to discuss ways to control attendance. Last year there were 130-140 children and their caregivers. She will review the intension of the club and the possibility of limiting it to children age 12 and under.

 

International Service Committee - Linda Blossom

Nigerian Water project: awaiting an update from Mushin Rotary club.  Recent email communication has not been returned however in the past they have had internet problems and were unable to get a message out for several months.

 

Vocational Service Committee – Diane Berardicurti

The charter for Interact is in and will be scheduled for a September Meeting for presentation.

 

Rotary Foundation

PE Dan Barletta - Our club has no Annual funds contributions so far this year and none the last two years except for Paul Harris money for awards given at installation dinner.  Permanent fund approx $6500 given Jim’s year, $8200 this year.  Dan will ask District for printout of last few years for better review. And bring to next board meeting.  Possible contribution from any excess funds in this year’s budget and possibly put it into future budget.

7/16/07 – Discussed, for minimum of $100 donation to annual programs fund the club will match from the International service budget a$50 max. The remaining of budgeted amount will be split equally among all members with 80% attendance and 12 months of membership. Linda Blossom is chair for district. Scheduled training session for lunch meeting in August.

8/20/07- Presentation that was given to the club in available on the club web site.

 

 

Old Business – Items not addressed above in officer and committee reports

 

Margaret Hare Brown Dinner

Treasurer Del Smith recommended that the board seriously look at the Margaret Hare Brown Dinner operations to eliminate any financial liabilities that may exist (present and future) as the funds pass through Greece Rotary Treasury.  

2/19/07 - No action this month. 3/19/07 - No action this month.

4/23/07 – Rich Vogelzang will forward draft a letter to Angie Hucknell recommending that Greece Rotary ends active financial participation to avoid economic risk. He will forward to the Greece Rotary Board for review and comment before sending.

5/21/07 – Dianne Berardicurti will be the Greece Club representative to monitor the involvement.

8/20/07- Pending a report from Dianne Berardicurti a committee has been established.  The committee consists of: Doug DeVey, Pam Beaney, and Bridget Campbell

 

Reserved Fund: What do other clubs do? Discussion was held regarding what the maximum amount we should keep in our reserved fund should be. We have established a minimum of $10,000. Current balance is $17,500.  Other organizations, Rotary and others, have reserve funds much larger.  For example,  Dan Barletta received info from Chuck Krause that Camp Haccamo has approximately $750,000 in its Memorial fund. Larry Wills pointed out DCMC has a reserve of $400,000.00.  Rochester Rotary has $7 million in reserve funds.  $3.5 million for Sunshine Camp and the rest undedicated.  Joe Darweesh is checking to see it Rochester Area Community Foundation has reserve fund.  With our Greece Rotary Foundation we could build it so in future any interest generated could be put into general club funds to reduce reliance on fundraising. The original intent back was to: The Greece Rotary Reserve Fund was established in the 2003-2004 Rotary Year.  The president and board at that time thought it prudent to establish such a fund for a future need for funds.  This need may arise from a less than expected fundraising event or due to some community need of an emergency.  As an example, the Rochester Rotary wrote check for $30,000.00 to the Rochester School district a couple years ago when there was a problem with funding for the school nurses. Another example is our club, when it had major expenses for any particular project it had to budget the expense over a number of years instead of paying for project in one payment.  This causes strain on budget planning for the ensuing years.

New Business:

1. Larry Wills discussed the status of the LPGA and year-end report. Wegmans will offset the $400,000  expected loss this year. They are actively looking for more corporate sponsors. Tournament is set for this year but uncertain for 2009 and forward. Contracts with LPGA, Wegmans, and Locust Hill all               end following the 2008 tournament. Changes that may need to be made could cause the prices to

go up considerably. If there is no tournament in 2009, they would draw on reserve fund to support the camps, however in 2010 camps could be in jeopardy.

2.Larry requests that an alternate be found for his position with the LPGA as his 3 year term ends this year. We earn 1 seat on the board for each 100 members that the club has.

3. Larry also voiced his opposition to the fining policy for birthdays and anniversaries. He feels it is too confusing when one member wants to be sung to and another does not. Several Board members were in agreement. President Dan will talk with fine masters for clarification.

4. A Program Success Workshop has been developed by Maureen Hall and Bill Gormont for District 7120 . The first meeting is September 5 at Camp Haccamo. President Dan feels it would be a good idea for the upcoming VP’s to attend.

5. Snowflake Express is a program to bring children of servicemen and woman who have died in the line of duty to Disneyland. They are looking for financial support from our club. The cost is $500/child or $1,500/ family of 3. President Dan is passing this on to the financial sub-committee for review and recommendation.

6. This Year’s Club Directory is completed and will be distributed at club assembly.
